How to Choose a Data Recovery Laboratory: The Criteria That Really Matter

To choose a data recovery laboratory, check four criteria above all: a genuine cleanroom (ideally a laminar flow hood), data processing that is actually carried out on site rather than shipped abroad, transparent pricing with a free analysis and quote, and the absence of hidden subcontracting. The rest, glowing reviews and spectacular success rates, is often just window dressing. The decision carries weight: your data is on an already failing device, and a poorly handled first attempt rarely leaves a second chance.

This article details these criteria, the pitfalls of the market, and the precise questions to ask before entrusting your drive to anyone.

The genuine cleanroom: beyond the marketing

A cleanroom is an entire room whose air is completely filtered to exclude dust. In data recovery, this term is often used incorrectly, because few laboratories have a room of that scale. The real need for a controlled environment mainly concerns the replacement of read heads, which requires air of extreme purity. The best way to obtain it is a laminar flow hood, a workstation that blows filtered air continuously over the work area.

This is where you have to tell the real thing from the set dressing. When a company showcases a huge cleanroom in which you see around fifteen people working, some of them soldering, let us be clear: that is marketing, not technique. Soldering gives off smoke, dust and acidic fumes, precisely what a cleanroom is supposed to exclude. No one solders in a controlled environment intended for opening hard drives.

In our case, the way things have evolved illustrates well what really matters. Until 2025, we had a room kept under positive pressure, ventilated and supplied with clean air, with laminar flow hoods inside. Today, we work with a laminar flow hood, which is perfectly suited to opening drives and changing heads. It is not the size of the room that protects your platters, it is the quality of the air at the precise spot where the drive is opened.

Genuine laboratory or mere intermediary? The subcontracting trap

This is the most important point, and the least well known. In Switzerland, there are many data recovery providers. Of that number, only a handful actually have their own laboratory in the country. The others fall into two categories that should raise a red flag.

Some do have a small laboratory in Switzerland, but in practice it is only a collection point, capable of two or three simple software operations. Everything else, the serious physical work, goes abroad, to a European neighbour or sometimes as far as the United States. Others have no laboratory at all: they are intermediaries. You think you are dealing with a Swiss laboratory, you are told about Helvetic quality, but the party you are speaking to is only a small operation that forwards your device elsewhere as soon as it arrives.

This way of operating raises several concrete problems. The first concerns confidentiality and the law. The new Swiss Data Protection Act (nDPA) governs the handling of certain sensitive data, medical data in particular, which should not leave Switzerland without the client being informed. Entrusting a drive to an intermediary that ships it abroad without saying so means losing control over sometimes highly sensitive data.

The second problem is legal. The general terms and conditions of these European laboratories often provide that, in the event of a dispute, the court of the provider's country has jurisdiction. In other words, if things go wrong, you will have to assert your rights abroad. Finally, there is the question of trust: a provider that presents itself as a 100% Swiss laboratory while shipping everything elsewhere begins the relationship with a lie. That is not the best proof of seriousness for entrusting it with what is most precious to you.

Tools, spare-parts stock and honest pricing

A genuine laboratory is also recognised by its resources. Beyond the laminar flow hood, it has specialised software, workstations for soldering and reworking BGA, and donor drives for parts replacement. This equipment is costly, and its sole purpose is to maximise the chances of recovery.

The stock of spare parts is another marker. We keep several thousand hard drives and several thousand printed circuit boards on hand. This stock is not a luxury: when a board has to be replaced or heads taken from an identical drive, having the right part immediately to hand saves precious, sometimes decisive, time.

On the pricing side, an honest laboratory follows a simple logic, set out below.

The analysis and the quote are free, even if they take time. At this stage, no repair attempt is made, since the quote is not signed: if you decline, you must be able to get your device back in a state as close as possible to its original condition. Only afterwards, if recovery appears possible, is a quote submitted to you. In case of failure after acceptance, a small amount remains due, because every job deserves payment, but the bulk of the bill falls due only in the event of success. A further sign of seriousness: the ability to give a price range, for instance through an online calculator. A provider unable to state even a rough order of magnitude has something to hide.

The questions to ask, and the false signals to ignore

Before entrusting your device, a few direct questions reveal what matters.

  1. Are the analysis and the quote free, and without hidden costs?
  2. How much might the recovery cost, at least as an order of magnitude?
  3. Does the laboratory actually exist in Switzerland?
  4. Will my device be processed in Switzerland? A Swiss laboratory does not guarantee processing in Switzerland.
  5. What happens in case of failure: is my device returned, sent back, or destroyed?

The fourth question is the one that catches out the most providers. We have seen clients discover that their drive had been sent abroad, when they had been assured it was staying in Switzerland. A foreign telephone number or email address often gives the reality away.

Conversely, be wary of reassuring signals that prove nothing:

  • Videos showing huge cleanrooms full of technicians: no technical meaning whatsoever.
  • Reviews that are unanimously glowing: they can be fabricated.
  • Certifications displayed that do not really exist.
  • Years in business highlighted, which are sometimes those of the European subcontractor laboratory.
  • Success rates that are spectacular: the worst of all.

With many years of experience, we can state it plainly: announcing a spectacular success rate for a drive with defective read heads is quite simply a lie. Recovery is a complex process, dependent on too many factors to be reduced to a flattering percentage.

Small shop or laboratory: when one is enough, when the other is essential

Not everything is a matter for the specialised laboratory. For a purely software-based and simple recovery, a computer shop may be enough, and many have already rescued a few files with consumer software. The problem arises when these small operations, seeing a profitable service in it, take on recoveries that are beyond them: they open a drive "just to take a look" outside a cleanroom, and we then recover a device in a worse state.

Two precautions are therefore in order. First, reserve the small shop for simple, non-physical cases. Second, keep in mind that in the event of a serious problem, these small operations offer little recourse: even going through the courts, there is often not much to be had. As soon as the failure affects the hardware, or the data is critical, it is better to go straight to a specialist.

How do you recognise a genuine data recovery laboratory?

Does a Swiss laboratory necessarily process my data in Switzerland?

Can you entrust a recovery to a computer shop?

For a simple software-based recovery, yes. But as soon as it involves a physical failure or critical data, no: opening a drive outside a cleanroom makes the failure worse, and these small operations offer little recourse if a problem arises. A specialised laboratory is then the better choice.
